The employee file is a set of documents that stores all information related to the employee from the moment they join the company until their employment relationship ends. This file is not only a way to keep an orderly record, but also a guarantee of transparency and clarity in the employment relationship.
Since its objective is to offer a complete view of the employee's working life at the company, their achievements, position changes, training, performance evaluations, among other relevant aspects, can be found here.
How to build an Employee File?
Organization:
First, it is essential to keep the file organized.
The ideal is to have a specific folder or file for each worker.Constant updating:
Whenever there is a change or a new document is added, it must be included immediately in the file. Constant updating ensures that the information is relevant and current.Restricted access:
Given the confidential nature of the information, the file must be stored in a secure location and should only be accessible to authorized personnel.
What documents make it up?
Identification documents: Copies of the ID (INE), driver's license, among others.
Employment contract: It must specify the type of contract, duration, salary, and other working conditions.
Curriculum vitae: Provides an overview of the employee's background and experience.
Training and education: Certificates or proof of courses or workshops that the employee has taken during their time with the company.
Performance evaluations: These help to provide a perspective on the employee's growth and development within the organization.
Legal documents: This may include insurance, benefits, permits, among others.
